Every listing on NeedAnAI is produced by an automated pipeline: tools are discovered from public sources, their websites are visited by our crawlers, their profiles are summarized by language models reading the tool’s own site, and their availability is re-checked continuously. People set the rules, review what the machines flag, and make the decisions that are too consequential to automate — above all, declaring a tool dead.
This page explains each stage, what our labels mean, and — just as importantly — what we do not do.
New tools are found automatically from public sources: product launch platforms, developer communities and link aggregators, GitHub, technology news feeds, and other public AI-tool directories. Tool makers can also submit a tool themselves through the free submission form. Both routes end up in the same queue.
Candidates are checked against the entire existing catalog before anything is created — first by domain, then by a fuzzy name match that strips the usual suffixes so “Acme”, “Acme AI” and “AcmeGPT” do not become three listings. Survivors are classified into categories and tasks with model assistance, with a keyword-based fallback. Categorization is the part most likely to be imperfect; if a tool is filed under the wrong task, telling us is the fastest fix.
Our scanners open each tool’s website in a real headless browser and record what they find:
A separate, lighter check makes plain HTTP requests to see whether a site still responds, and stamps the time of that check on the tool. Sites that sit behind bot protection and refuse our crawlers are retried through a real desktop browser before any conclusion is drawn about them.
This is the part most directories are vague about, so we will be blunt: tool descriptions, pros, cons, pricing summaries, FAQs and the one-line summaries on tool cards are written by language models. They are generated from a fresh scrape of that tool’s own public website, not from a press release and not from a competitor’s directory entry, and they are stored on the tool’s profile as structured fields.
The models work under explicit instructions: describe only what the source text supports, never invent a feature, never invent a number — a figure may appear only if that same figure appears on the tool’s site — and drop the marketing vocabulary (“revolutionary”, “seamless”, “game-changing”) that makes every listing sound the same. A generated profile that comes back empty or malformed is rejected rather than published.
Our written guides and blog articles are likewise produced with AI assistance under editorial rules. Treat both as a well-researched starting point, not as a substitute for trying the tool.
A tool is not published the moment it is discovered. To enter the public catalog it has to be reachable, have cleared review, carry a verified description of real length, and be written in English. Until then its page shows an “under review” notice rather than a half-finished profile. This is why a tool you submitted may take a while to appear.
Verification is not a one-time event. Checks run continuously in small batches, so the catalog is re-checked on a rolling basis rather than all at once on a fixed day — a tool you look at today has typically been checked recently, but nothing here claims every one of 15,000 tools was checked this morning.
Two timestamps are kept per tool: when it was last checked at all, and when it was last confirmed reachable. Tool pages show the latter as “Site information updated on …”, and that is the date to trust when judging how current a listing is.
Each tool carries a site status:
Only a human finalizes a dead verdict. Our automation is not allowed to — the code that writes statuses refuses the value outright. When the crawlers believe a tool is gone they can only flag it as a suspect and queue it for a person to confirm. This exists because delisting is destructive and heuristics are fallible: a parked-domain pattern, a shutdown banner, three failed requests in a row are each good reasons to look, and none of them is proof.
In the interest of honesty: that gate is newer than the catalogue. Most tools currently marked dead were classified under our earlier, fully automated rule — three or more consecutive failed checks, with an independent second engine as a cross-check — and much of that backlog is still queued for the human review the current rule requires. New dead verdicts go through a person; the historical ones are being re-reviewed rather than silently trusted.
A check mark on a tool means its profile has been reviewed against the live website and resolved — the description matches what the site actually says the product does. It is not a certification, not an endorsement, not a security or privacy audit, and it cannot be bought. Sponsorship buys placement, never a check mark; see our affiliate and sponsorship disclosure.
Star ratings on NeedAnAI come from visitors, not from us. A rating is the average of reviews left by signed-in users on that tool’s page, and the review count is exactly how many such reviews exist; both are recalculated by the database whenever a review is added, edited or removed. We do not publish an editorial score, and a tool with no reviews shows no rating rather than a filler one. Small review counts mean small samples — read the reviews, not the average.
NeedAnAI is funded by affiliate commissions and paid promotion. Sponsored tools can be featured, badged, and ranked higher in listings, and those placements are labeled on the card. Nothing in the pipeline above changes for a paying tool: the checks, the statuses, the pros and cons and the dead-site banner are the same for a sponsor as for anyone else.
